Class Scheduling & Classrooms

Scheduling Problems?

 Please contact your department scheduler.

The process of scheduling classes begins eight to ten months before the beginning of each term.

Scheduling Guidelines

When requesting general assignment classroom spaces, please adhere to the following guidelines:

  • 35% of total class hours should be scheduled outside of prime time.

Prime-time is defined as Mon–Thur 9:00 a.m.–4:00 p.m. and Fri 9:00 a.m.–12:00 p.m.

Standard meeting times for 3 & 4 unit courses are defined as noted below. If 3 & 4 unit classes have non-standard meeting times they are given lower priority in room assignments:

Three unit classes:

  • MWF 1 hour
  • TR 1.5 hours

Four unit classes:

  • MTWR and MTWF 1 hour
  • MW 2 hours
  • WF 2 hours
  • MF 2 hours

For standard meeting times; see General Scheduling Codes & Guidelines.

The primary portion of a course (lecture) is assigned a general assignment space before the secondary part of a course (discussion or laboratory).

Summer Sessions Scheduling

The standard time pattern for classroom utilization during summer sessions is modified to accommodate the shortened sessions while conforming to approved contact hours. The summer standard time patterns are provided with the call for summer sessions scheduling updates.

Course Restrictions

Restrictions must be coded in the general catalog. Additional restrictions for undergraduate courses require Council of Associate Deans approval. Enrollment restrictions will be coded before registration for a term begins and will include a text in each section describing the enrollment restriction, which will appear in the Class Search Tool/Schedule Builder.

Changes After Registration Begins

If the term is already open for registration, requests for changes to undergraduate courses need the approval of the college dean (or dean's designee). Restrictions must be listed in the general catalog upon approval. If a course already has enrollment for the term, it is the responsibility of the department to inform students and instructors of approved scheduling changes. The Office of the University Registrar sends an email notification to all enrolled and wait-listed students when there is a schedule change, room change, or course cancellation.

Classroom Information

The General Assignment Classroom Guide provides detailed information for each general assignment classroom.

Each academic department has a designated department scheduler who coordinates course scheduling with the Office of the University Registrar (OUR). Department schedulers are responsible for communicating any special classroom or scheduling requests to the OUR scheduling Unit.

Special Classroom and Scheduling Requests

All special classroom and scheduling requests must be submitted with the department's complete course schedule by the Open Maintenance deadline.

While the Scheduling Unit makes every effort to accommodate special requests, assignments are not guaranteed, except when the request addresses a documented accommodation with DMS.  If a special request cannot be accommodated, the Office of the University Registrar will notify the department scheduler.

Classroom Usage

  • Classes that start before noon, end 10 minutes before the hour; e.g., 8:00 a.m. - 8:50 a.m.
  • Classes that start in the afternoon or later, start 10 minutes past the hour; e.g., 1:10 p.m. - 2:00 p.m.

This 10-minute period is to accommodate the transition of classes in the classroom.
