Force CompleteFRMarks a requirement or sub-requirement as satisfied regardless of whether all the audit's rules have been met. Requirement or Sub-requirement LevelUse when a requirement has been fulfilled via approved alternate means that cannot be accurately captured through other exception types.
  • Use to Force Complete the Catalog Year Check requirement for CoE students when a student is allowed to graduate in a catalog year that is not within the last two years.
  • Use to Force Complete the Major Requirements Certified Complete by Advisor requirement when a student is in a pre 2018 catalog year and the department chooses to do a paper certification instead of using exceptions or changing the students catalog   year.
Use sparingly. This functions similar to a waiver and should be generally considered a last-resort exception.
Edit RequirementRMModifies the parameters used to evaluate a requirement without fully waiving it.Requirement or Sub-requirement LevelUse when requirements rules need adjustment (number of units, course or sub-requirements need or minimum GPA) for an individual student.
  • Use to change the units required to complete a requirement from 10 units to 8 units.
  • Use to lower or adjust the minimum GPA required from a 2.000 to a 1.900.
  • Use to change the number of courses a requirement needed from three to two. 
Appropriate when the requirement should still be evaluated, but under modified criteria. This functions similar to an override.
Force CourseFCAssigns a specific course to satisfy a specific requirement.Sub requirement LevelUse when a course should count toward a requirement though it would not normally apply under the catalog requirements.
  • Use if a student takes an out of state transfer course (TR) that does not have an official equivalency, but the department approves it to be used in place of the courses listed in the catalog.
  • Used if a course is applying to the OL GE, but is preferred to be used towards the WC GE. 
Preferred over Force Complete when a course can be identified to meet the requirement.
Add CourseRUAdds a course to the list of courses eligible to satisfy a requirementCourse ListUse when an additional course should be recognized as meeting the requirement.
  • Use if a student is approved to use a course in restricted electives that is not listed as an option in the catalog.
  • Use if department introduces a new course and publishes it in the current catalog, but wants to allow a student in an older catalog year to also use the new course towards their degree requirements.
Can be applied before, during or after course enrollment and completion.
Delete CourseRDRemoves a course from the list of courses that can satisfy a requirement.Course ListUse when a course should no longer be recognized as meeting the requirement.
  • Use if a course listed in the student's catalog year should not count towards the requirement.
  • Use if  a course is discontinued or not being offered and the department decides to remove it from the course list for a student.
Most commonly used for curriculum maintenance and catalog-rule adjustments, but may not have broad usage for UC Davis.
SwapRSReplaces one course with anther in the requirement's course list by combining an Add Course and Delete Course action.Course ListUse when one course should be substituted directly for another.
  • Use if the student completed BIS 002A but BIO 002 is listed as required for their catalog year.
  • Use if the student studied abroad and took JPNE 001 and the requirement list JPN 001. 
Best option when a direct substitution exists between two courses.
Advanced Exceptions Modifies how the audit itself evaluates requirement beyond standard exception functionality.All areasUse when standard exceptions cannot achieve the desired audit outcome.
  • Use if you are trying to prevent in progress coursework from counting in a requirement.
  • Use if you need to adjust complex evaluation logic

Restriction Options

Restrict to this Degree Program—If selected, it will apply this exception to the current degree program only. Occasionally, the same requirement could be used in multiple degree programs. Selecting this prevents the exception from influencing other audits for the student.

Restrict to this Requirement—This is set by default. If not selected, the effect impacts ALL requirements in the audit. It is NOT recommended you deselect this option.
