Special Cases

Some audits may require additional review or manual intervention due to factors, including the following.

Pre-2018 General Catalogs

Degree audits are available for all colleges back to the 2018–2019 academic year, except for the College of Engineering. Because Engineering students are required to graduate within the two most recent catalog years, engineering programs audits are available beginning with the 2023–2024 academic year.

If a student’s catalog year predates the available audit encoding (generally pre-2011 for college requirements and pre-2018 for major requirements), the audit will display a message directing the student to contact the appropriate advising office to determine the best path to graduate.

Possible corrective actions include:

  • Moving to a catalog year available in the system.
  • Working with the department to review requirements manually.
  • Applying exceptions, when appropriate, to certify completion

Change of Program

When a student changes to a major, academic option, or minor that did not exist during their original matriculation year, the catalog year associated with the new program may need to be updated through the Change of Program Petition.

Example: the Medicinal and Drug Chemistry major was introduced in the 2025 academic year. A student who matriculated in 2022 as a Pharmaceutical Chemistry major and later changes to Medicinal & Drug Chemistry may encounter an audit error if the catalog year is not updated to a year in which the new major exists.

Updating the catalog year ensures the audit functions correctly and reflects the appropriate requirements.

Academic Options

For majors with multiple academic options, all options initially appear in the degree audit. Courses that may apply to more than one option will populate all applicable requirements.

Once a student officially declares an academic option through the Change of Program Petition, the audit will update to display only the requirements associated with the selected option.

Multiple Majors & Minors

For students pursuing multiple majors and/or minors, overlap rules are enforced within the audit to ensure coursework is applied appropriately across programs.

The audit includes a section identifying overlapping courses. In some cases, an exception may be needed to adjust how coursework is applied across majors and minors. When making these adjustments, advisors should work with the appropriate academic unit(s) to ensure the correct courses are applied without exceeding overlap limits.

Disallowed Major & Minor Combinations

Some combinations of majors and minors are not permitted because they cannot be completed without exceeding the allowed overlap between programs. As a result, certain combinations may be restricted in both the What If tool and the Change of Program Petition. Additional combinations may be restricted as needed.
