Document Fee

The Document Fee is a one-time $150 fee charged to new students in covered groups that replaces individual transaction costs for students and alumni within those groups; see Covered Groups.

The Document Fee affords a number of benefits to covered student and alumni groups:

  • Current prices of documents and services are locked in, with lifelong access to covered documents.
  • Improved service; transactions aren’t slowed by payments or billing.
  • Document requests are fulfilled in one-three business days; additional time needed for mailing.
  • E-transcript service.
  • Transcript and education verification services available at the AggieCard Office in 253 Memorial Union.

The Document Fee provides the following to student and alumni in covered groups:

The Document Fee does not cover expedited mail service (e.g., Fed-Ex, overnight mailing, etc.), duplicate diplomas, fax requests, and services not provided by the Office of the University Registrar.

If a student has a Student Accounting hold on their account, a transcript order will not be processed until the hold is removed.

Continuing and former students in covered groups are not charged the Document Fee; having been paying for these services individually, they have access to these services at no further charge.

Covered Groups

Covered groups include students enrolled in degree-seeking undergraduate and graduate programs as well as students in some self-supporting programs. Former students in these covered groups must have completed at least one term to receive the covered documents at no charge. Groups not covered by the Document Fee do not pay the Document Fee and, therefore, are required to pay-per-service. If a student enrolls in a program covered by the Document Fee, and also enrolls in a program not covered by the Document Fee (e.g., an undergraduate alumnus enrolled in the School of Medicine M.D. program) all of their student record is covered by the Document Fee.

History

In the interest of improving service and access to student records, in fall quarter 2013, the Office of the University Registrar streamlined the way it charges for some documents and services using the Document Fee. The fee was approved in July 2013 by then Chancellor Katehi and developed by the Division of Student Affairs in consultation with students.
