Resolving Common Issues/FAQs

  • Why isn’t a requirement marked complete if I’m enrolled in the final course?
  • Requirements are marked complete only after all required coursework and conditions—such as minimum grades, unit totals, or sub-requirements—have been satisfied. Courses in progress will not count as complete until final grades are posted.
  • Why did a course move to a different section of my audit?
  • The Degree Audit automatically places courses where they best satisfy your degree requirements. As you complete additional coursework, the system may move courses that can apply to multiple requirements to create the most efficient overall fit.
  • Why did a course not appear where I expected in the audit?
  • This can happen for many reasons, such as:

Courses That Satisfy Multiple Requirements—Some courses can fulfill more than one requirement. The audit places courses where they best support overall degree completion, which may differ from your expectations. As you complete additional coursework, course placement may change to create the most efficient fit.

Catalog Year—Degree requirements are based on your catalog year. Because requirements can change over time, a course listed in a newer catalog may not apply to your program. Contact your academic advisor to discuss possible options.

Non-Qualifying Grades—Some requirements specify a minimum grade or a specific grading mode such as a letter grade instead of passed/not passed. Courses that do not meet these conditions may not apply.

Advisor Approval Required—“SEE ADVISOR” indicates that the course that satisfies the requirement requires departmental or advisor approval. The appropriate course may depend on your individual academic plan. Consult your academic advisor for guidance.

Non-Articulated Transfer Coursework—Transfer credit may appear on your record without automatically applying to a specific requirement. While many California Community College courses have established articulations through ASSIST, coursework from other institutions may require departmental review before it can be applied. If you believe a transfer course should satisfy a requirement, contact your academic advisor about the equivalency review process.

Unit or Course Limits—Some requirements limit the number of units that can be applied from certain course types, such as internships or seminars.

Additional Requirement Conditions—Some requirements include additional conditions, such as completing a minimum number of units or following a required course sequence before coursework can apply.

Special Programs Coursework—Courses completed through Special Programs may fulfill requirements but often require advisor review before they can be applied in the degree audit.

Exceptions—In some cases, exceptions may be approved to allow a course to satisfy a requirement. Exceptions require advisor approval and must be manually applied to your audit.
  • What if I want to use a different course to satisfy a requirement?
  • In some cases, a substitute course may be approved to fulfill a requirement. Substitutions are not automatic and usually require review and approval. Contact your academic advisor to discuss possible options.
  • Why isn’t my transfer credit showing in my degree audit?
  • Transfer credit will appear only after your official transcript has been received and evaluated. Note that not all transfer coursework is transferable or eligible for credit. Review the most common reasons credit would not be awarded. Please allow time for processing and evaluation. If there is a significant delay, contact the Office of the University Registrar (OUR) Transfer Credit Unit for assistance.
  • Why isn’t my desired track, option, concentration, or emphasis listed?
  • The Degree Audit displays requirements based on your catalog year. If a track, option, concentration, or emphasis was added in a later catalog year, it may not appear as an option in your audit. Contact your academic advisor to discuss whether changing your catalog year is appropriate.
  • What should I do if I find a discrepancy between my degree audit and the catalog?
  • If you notice a discrepancy between your Degree Audit and the official catalog, contact your academic advisor. They can review your record, clarify requirements, and help resolve inconsistencies.
  • What should I do if I receive the message “There has been an error processing your request”?
  • This message usually indicates a system or access issue. Contact the Office of the University Registrar (OUR) Degree Audit Unit for assistance. They can help identify the problem and restore access.
